BrokerLAB Privacy Policy
Effective Date: August 29, 2026
Last Updated: August 29, 2026
This Privacy Policy explains how Deadline Learning LLC ("Deadline Learning," "we," "us," or "our"), which operates the BrokerLAB continuing-education platform at deadlinelearning.com and related applications (collectively, the "Service"), collects, uses, discloses, and protects information about you. It applies to real estate licensees, prospective students, and other visitors who use the Service.
By creating an account or using the Service, you acknowledge that you have read and understood this Privacy Policy. If you do not agree, please do not use the Service.
1. Who We Are and How to Contact Us
The data controller responsible for your information is:
Deadline Learning LLC
8664 NW Springville Ct.
Portland, Oregon 97231
Email: info@deadlinelearning.com
If you have questions about this Policy or your data, contact us using the details above.
2. Information We Collect
We collect the following categories of information:
2.1 Information you provide directly
- Account and identity information: name, email address, password, and, where required for continuing-education (CE) reporting, your real estate license number, licensing state, and license type.
- Billing information: billing name and contact details, and the transaction records associated with your purchases. Payment card numbers are collected and processed by our payment processor (see Section 4); we do not store full card numbers on our systems.
- Learning preferences: the market/region, experience level, and course-focus selections you make to personalize your experience.
- Communications: messages, support requests, survey responses, and other information you send to us.
2.2 Information generated through your use of the Service
- Course progress and performance data: modules viewed, seat-time recorded, section-quiz and final-exam scores, retakes, completion status, and completion certificates.
- Adaptive learning profile: the skill/proficiency signals, confidence-check responses, and optional-practice outcomes used to personalize lessons and populate your skill meter.
- AI Labs interactions: the text and inputs you submit to our optional AI practice tools (for example, the AI CMA Reviewer or AI negotiation personas), and the AI-generated responses and coaching feedback you receive. Please avoid entering real clients' personal information, confidential deal terms, or other sensitive third-party data into AI Labs.
- Voice practice sessions (optional): if you choose to use the Virtual Coach, we capture audio from your microphone while a voice session is running. That audio is converted to text; the text — not the audio — is what the coach responds to and what is saved to your practice transcript. Your microphone is active only during a session, you can mute or end it at any time, and each session requires your explicit consent before any audio is captured. Voice mode is optional: text mode does everything voice mode does, and nothing in any course requires you to speak. The same caution applies as above, and applies more easily by voice than in writing — please avoid speaking real clients' personal information, confidential deal terms, or other sensitive third-party data into a voice session.
2.3 Information collected automatically
- Device and usage data: IP address, browser type, device identifiers, pages visited, referring URLs, and timestamps, collected through cookies and similar technologies.
- Cookies: we use strictly necessary cookies to operate the Service and, where enabled, analytics cookies to understand usage. See Section 8.
We do not knowingly collect information from anyone under 18. The Service is intended for real estate professionals and other adults.
3. How We Use Your Information
We use your information to:
- create and administer your account and authenticate you;
- deliver courses, record seat-time, grade assessments, and issue completion certificates;
- personalize lessons, scenarios, and your adaptive learning profile and skill meter;
- operate the optional AI Labs and generate coaching feedback;
- process payments and maintain transaction and purchase records;
- maintain records that may be required for CE compliance and reporting (see Section 6);
- provide customer support and respond to your inquiries;
- monitor, secure, debug, and improve the Service;
- send you service-related communications and, where permitted, marketing communications you can opt out of;
- comply with legal obligations and enforce our Terms & Conditions.
We do not sell your personal information, and we do not "share" it for cross-context behavioral advertising as those terms are defined under California law.
4. How We Share Information
We share information only as described here:
- Service providers (subprocessors): we use trusted vendors to run the Service — including cloud hosting and storage, our payment processor (Stripe), email/communications delivery, and analytics providers. They may process your information only to perform services for us.
- AI providers: the optional AI Labs rely on third-party artificial-intelligence providers to process the inputs you submit and generate responses. Your AI Labs inputs are transmitted to these providers to deliver the feature. We contract with AI providers who agree not to use your inputs to train their general models except as permitted by our agreements; the specific provider(s) may change as the Service evolves.
- Voice processing providers (optional Virtual Coach): when you use a voice session, your audio is carried by LiveKit and converted to text by Deepgram. Those are the only providers that handle your audio. Separately, the coach's replies are sent to Cartesia, which generates the coach's synthetic voice, and to LiveAvatar, which animates the coach's face; neither receives your audio. As with our other AI providers, we have opted out of model training with our speech providers, so your voice is not used to train their models.
- CE and regulatory reporting: where required for continuing-education credit, we may transmit completion records (such as your name, license number, course, and completion date) to the relevant state real estate agency, regulator, or authorized reporting system.
- Legal and safety: we may disclose information to comply with law, respond to lawful requests, enforce our agreements, or protect the rights, safety, and property of Deadline Learning, our users, or others.
- Business transfers: if we are involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction, subject to this Policy.
A current list of subprocessors is available on request at info@deadlinelearning.com.
5. Legal Bases and Consent
Where consent is the basis for processing (for example, optional marketing emails or non-essential cookies), you may withdraw it at any time. We otherwise process information to perform our contract with you, to comply with legal obligations, and for our legitimate interests in operating and improving the Service.
6. Data Retention
We retain your information for as long as your account is active and as needed to provide the Service. Because continuing-education completion records may need to be retained to satisfy regulatory and audit requirements, we may keep course-completion and certificate records for a longer period as required by applicable state law, even after you close your account. We retain other information only as long as necessary for the purposes described in this Policy or as required by law, after which we delete or de-identify it.
Voice session audio. Our speech-to-text provider processes your audio in memory and does not write it to persistent storage, so no recording of your voice is retained after it has been converted to text. The resulting text is kept with your practice records like any other AI Labs interaction. The provider that generates the coach's spoken replies receives the coach's text rather than your audio, and does not commit to a fixed retention period for it; you may ask us to have your practice records deleted at any time using the contact details in Section 1.
7. Data Security
We use administrative, technical, and physical safeguards designed to protect your information, including encryption in transit, access controls, and secure hosting. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential.
8. Cookies and Tracking
We use strictly necessary cookies to keep you logged in and operate core features, and, where enabled, analytics cookies to measure and improve usage. You can control cookies through your browser settings; disabling some cookies may affect functionality. We honor recognized opt-out preference signals (such as Global Privacy Control) where required by law.
9. Your Privacy Rights
Depending on where you live, you may have some or all of the following rights regarding your personal information:
- the right to know/access the personal information we hold about you;
- the right to correct inaccurate information;
- the right to delete your information, subject to legal and CE-record retention exceptions;
- the right to data portability (a copy in a portable format);
- the right to opt out of any sale or targeted-advertising sharing (note: we do not sell personal information); and
- the right to be free from discrimination for exercising your rights.
To exercise any right, contact us at info@deadlinelearning.com. We will verify your request (typically by confirming control of your account email) and respond within the time required by applicable law. You may use an authorized agent where the law permits.
9.1 California residents (CCPA/CPRA)
California residents have the rights described above, including the right to know the categories and specific pieces of personal information collected, the sources, the business purposes, and the categories of third parties to whom it is disclosed. We do not sell or share personal information for cross-context behavioral advertising. We do not use or disclose sensitive personal information beyond the purposes permitted under the CPRA. You may appeal a denied request by replying to our response.
9.2 Oregon residents (Oregon Consumer Privacy Act)
Oregon residents have the rights to access, correct, delete, and obtain a portable copy of their personal data, to opt out of sale and targeted advertising, and to obtain a list of the specific third parties to which we have disclosed personal data. To exercise these rights, contact us at info@deadlinelearning.com. If we deny your request, you may appeal by replying to our decision; if the appeal is denied, you may contact the Oregon Attorney General.
9.3 Other states
Residents of other U.S. states with comprehensive privacy laws may have similar rights. Contact us and we will honor the rights available to you under applicable law.
10. Automated Processing and AI
Some features personalize your experience using automated processing of your learning data (for example, adjusting practice and the skill meter based on your performance). These features support your learning and do not determine whether you receive CE credit — credit is based solely on completing the required coursework and passing the graded assessments as described in our Terms. The optional AI Labs generate coaching feedback and simulated responses; AI output may be inaccurate and is for practice only, not legal, financial, or professional advice. The optional Virtual Coach additionally speaks with a synthetic voice and is displayed as an animated synthetic face. Both are generated by software. They are not a recording of any real person, and you are not speaking with a human being.
11. Third-Party Links
The Service may link to third-party websites (such as regulators or forms libraries) that we do not control. Their privacy practices are governed by their own policies.
12. Children's Privacy
The Service is not directed to children under 18, and we do not knowingly collect their information. If you believe a child has provided us information, contact us and we will delete it.
13. Changes to This Policy
We may update this Policy from time to time. If we make material changes, we will update the "Last Updated" date and, where required, notify you by email or through the Service. Your continued use after an update means you accept the revised Policy.
